Consider These Factors Before Changing Your Internet Technology Support

By: Nick Pegley

Maybe you're preparing to show a new employee the ropes, or simply adding another vendor to your list? The important question is whether or not the change made to your IT solution is a risk upon your business. Why or why not? This factor exists in all departments, but perhaps even moreso in this one. Knowing what is truly needed in order to keep your IT and support systems secure is not known to most and is often underdocumented as well.

The abillity to keep these important systems operating is best cultivated by years of experience in similar service situations. If this is a new situation for you, carefully consider the following points before diving headlong into a change of your IT department:

* Understand the depth and scope of your full inventory, including both hardware and software.

* Is your current IT person willing and able to help you with this process of documentation?

* Keep your list of business relations updated, including telephone, data, web hosting and other service providers.

* How is the data backed-up: who, where, and when?

* Who keeps the master list of all passwords in the company, and who keeps and maintains the backup?

* Where will the master list of all installation disks, user license key info, and software and hardware purchase records be kept?

* Would the company fare all right in the face of an audit by the Business Software Alliance, or is this a risk?

* What does the maintenance schedule look like, and which tasks are completed by which staff members, and when? Keep a checklist.

* Has another set of eyes looked at the network, perhaps a third-party consultant or someone who could see the trouble areas before they happened?

* Is the system protected from security threats from inside the company as well as outside?

* Who keeps the master records of all security procedures and products in use, including the protocol followed by staff members.

* Is the system compliant with the industry's guidelines?

* Who can access info such as key data, financials, legal department, and other areas - and where is it all kept?
